Featured Client: KidzArt Franchises
Overview:
KidzArt is a national franchise of art programs that operate through schools and retail stores. As a forward-thinking company that is not afraid to grow and consistently delivers high-quality businesses, KidzArt was recently named “Top Art Franchise” and “Best of the Best” in Entrepreneur Magazine’s 2006 Franchise 500. With goals of remaining #1 in the industry, growing aggressively, and taking the franchise international, KidzArt saw a need for technology and realized that partnering with Thriva would enable them to do so.
Challenges:
- KidzArt was unable to grow unless the used online registration and management software
- Parents wanted the ability to sign up and pay online at their convenience
- Tried to use another technology provider but it, as Co-Founder Shell Herman described, created “one problem after another.”
- Also tried an offline software which did not enable them to scale
- Could not auto-charge credit cards
- Had no option for parents to register for multiple events
- System updates had to be done in-house which was costly and took time
- System lacked functionality
- Difficult to keep up-to-date information for 900 kids at each of their 42 locations
“Before working with Thriva, our data was tracked in Excel. Keeping up-to-date information was difficult with around 900 students at each of our 42 different locations. With Thriva, the difference is night and day. Our information is organized and accurate. Plus, our customers now have the ability to update their own information, pay off their balances, and more. It has definitely reduced our workload and made us more efficient.”
Solution:
- Switched from their previous company to Thriva
- Selected Thriva for its flexibility and power to support their 42 franchise locations
- Able to get their first programs up and online quickly and start using the system
- Thriva’s tools help manage nearly every aspect of each franchise location
“Our franchisees are in great hands. We are very excited about partnering with Thriva and the potential for helping our franchisees to grow, support, and manage their companies.”
Results:
- Now, all 42 locations have access to the same, up-to-date information
- Customers can conveniently register and pay online
- Customer accounts allow parents to update their information online and pay their balances which reduces work for KidzArt
- Reduced administrative costs
- Increased efficiency
- KidzArt franchisee owners can easily print off financial reports to calculate royalty fees due
- The Communication Log allows KidzArt employees to view records of previous communications with each customer so all employees can see exactly what has been communicated to each customer in the past even if it was by a different employee
- Customers can automatically and instantly receive confirmation packets after registering online with no work by KidzArt
- Parents can now register kids for multiple events in one transaction
- Can now sell art supplies during registration
- Easy for teachers to print out their own rosters without having to contact the main office
- Franchise locations now have the tools to operate more efficiently while offering a better service to parents
“Honestly, Thriva’s support is like nothing I’ve ever experienced. Their response time is great. Everyone wants to learn more about our company and find out how they can help. I don’t think I have ever worked with a company that I never had a single issue with. I can say that about Thriva.”
“We have found great value in the real-time database management. In terms of security, it’s been a big improvement. The communication log allows our employees to view communication histories for every customer. This enables every employee to see exactly what has been communicated to customers even if it was by a different employee.”
