How to send automatic emails

The Thriva Communication Center offers the ability to send Automatic emails to your registrants based on certain rules and criteria that you specify. You can for example, send out payment reminders, updates before the start of the program, or self-created questionnaires or surveys after the program is complete.

Note before getting started:

Before you begin creating your Automatic Email Tasks, please note that most often you will want your tasks work in conjunction with Custom Filters. If you do not have a Custom Filter created for the task you want to setup, please first create your filter(s) by going to Tools > Filter Center.

Creating Automatic Email Tasks

1. From the Communication Center, click on the large gold button that appears at the top of your screen labeled Open Automatic Emails. Alternately, you can select the email you wish to automate from the menu of emails and click the link to Schedule this Email.

2. From the dialog box that appears, click the gold Add button to add an Automatic Email task.

3. Please give your task a name, then choose your task type.

If you choose the Task Type Birthday:

Your selected email will send to your registrant on their birthday. You can also specify an age range of people to send to; for example you may only want to send birthday emails to children age 5-18.

If you choose the Task Type Program Date:

Your selected email will send to your registrants based on the specifications you provide based on the program date.

1.Emails can be sent X number of days before or after the start dates or end dates of the program(s) you specify in your filter. Use the text box to enter the number of days, and the dropdown menus to determine when the email should send.
1.Next, choose a Custom filter from the dropdown labeled Send this email only to those registered for Events in this filters:
1.If you do not select a filter, the email will automatically send to all registrants, according to the date specifications, regardless of which program they have registered for.
1.From the dropdown menu labeled Select the email that will be sent for this task: choose the email message you wish to automate. If you clicked the Schedule this Email link, your email will already be selected.
1.If desired, check the box reading Send only to Accounts with a balance for the Event. Any registrant who has paid their balance for the event meeting that filter criteria will not receive your email.
1.Click the gold Save button to save your task.
1.Please note that this email will continue to send unless you delete the email or the task.

You can preview your email in the window at the bottom of the dialog box.
